What is the host's cancellation policy?

When you cancel a confirmed reservation, Holidu reserves the right to apply cancellation fees, except in cases of extenuating circumstances. These fees reflect the significant impact that host cancellations have on Guests, other Holidu hosts, and our platform.

Host cancellations create far-reaching consequences. For Guests, they disrupt vacation plans and erode trust in our platform. For other hosts, they undermine the credibility of the entire community. For Holidu, they result in substantial operational costs from managing disrupted bookings, finding replacements, and handling administrative burdens. Understanding this impact is essential before considering a cancellation.

What to do if you must cancel

We understand that exceptional circumstances can sometimes make cancellations unavoidable. However, accepting a reservation is a commitment to your Guest, and cancellations should only occur when there is truly no other option.

If you find yourself genuinely unable to honor a reservation, we encourage you to act as quickly as possible. Whenever feasible, consider offering an alternative accommodation instead of cancelling outright, as this helps minimize disruption for your Guest.

Any alternative accommodation you offer should meet these requirements:

  • Be listed on the same platform where your Guest originally booked
  • Maintain a similar price range while ensuring the same or higher standards compared to your original listing

When you provide a suitable alternative that meets these conditions, our Customer Support Team can help coordinate with the booking channel and your Guest to secure their acceptance and work toward resolving the situation without additional charges.

When and how the cancellation fee applies

If you are unable to offer an acceptable alternative accommodation, Holidu reserves the right to apply a cancellation fee. This fee reflects the impact on Guests and the operational costs of finding replacements and managing disrupted bookings.

The cancellation fee is calculated as a percentage of your reservation amount based on how far in advance the cancellation occurs. If the calculated fee is less than 50 EUR, it will be adjusted to a minimum of 50 EUR.

Time until check-in Cancellation fee (percentage of reservation amount)
48 hours or less 25%
Between 48 hours and 30 days 10%
More than 30 days 5%

Understanding the reservation amount

The reservation amount is the total cost your Guest agrees to pay when confirming a booking. This amount determines your expected payout, minus any applicable platform fees or other deductions.

For example, if a Guest books a 7-night stay at 100 EUR per night for a total of 700 EUR, and you cancel 20 days before check-in, your cancellation fee would be 700 EUR × 10% = 70 EUR. This fee reflects both the inconvenience to your Guest and Holidu's operational costs in finding an alternative property and managing the disruption.

Situations where the cancellation fee might be waived

We recognize that extraordinary situations beyond your control can occur. In cases involving major disruptive events or other valid extenuating circumstances, Holidu may waive cancellation fees.

If you believe your situation qualifies for a fee waiver, you must provide supporting evidence. Our Customer Support Team will carefully review your submission before making a final decision.

How to submit a cancellation request

Before requesting a cancellation, we strongly recommend you carefully consider the full impact of your cancellation beyond just the fee. This includes the consequences for your Guest, your property's reputation, and your future performance on booking platforms.

If, after reviewing these consequences, you still need to proceed with a cancellation, you can submit your request here.

Important: Cancellations are only legally valid if submitted through the official process outlined on this page. Requests sent via email or through other channels will not be accepted.
