Online check-in is a streamlined way to collect guest information directly through Holidu and automatically submit it to Portugal's SIBA (Sistema de Informação de Boletins de Alojamento) portal. This integration helps you comply with local registration requirements while reducing manual data entry and administrative burden.

1. Before You Start - What are the prerequisites?

Before activating the guest registration feature with Holidu, ensure you have the following in place:

  • A property already registered on the official SIBA portal at https://siba.ssi.gov.pt
  • Your SIBA credentials readily available:
    • NIF of the Hotel Unit
    • Establishment Code
    • Authentication Key (typically a 12-digit password)
  • Knowledge of which bulletin submission method (Método de envio) is active in your SIBA portal account. Holidu supports both "SEF-SIBA web service integration" and "SEF-SIBA Página no portal integration," but the method you select in Holidu must match the one configured in SIBA.

To check your current submission method, log in to your SEF account at https://siba.ssi.gov.pt/s/an/default.aspx. If you need to change the submission method and cannot do it yourself, contact SIBA directly at https://siba.ssi.gov.pt/contactos.

2. How to configure the Guest Online registration between Holidu and SIBA

Follow these steps to set up the guest online registration feature:

Step 1: Access the Online Check-in Settings

In your Holidu app, navigate to Tools in the left-side menu and click on Online Check-in.

Step 2: Select Your Property

You will see a list of your properties. Click "Configure" next to the property you want to connect to SIBA.

Step 3: Fill in Your SIBA Information

Complete the form with your information and credentials from the SIBA Portal. Enable the option "Send data automatically to the responsible authority."

Step 4: Select Your Connection Method

Choose the sending method that matches your SIBA account configuration. There are two options, each requiring different fields:

Option A: SEF-SIBA Web Service Integration

The required login fields are:

For the remaining fields (postal code, postal area, contact name, email, and phone number), enter exactly the same information that appears in your SIBA account under Atualização dos dados de inscrição at https://siba.ssi.gov.pt/S/au/DadosIdentificacaoActualizacao.aspx

On the same SIBA page, the Método de envio must be set to Web Service for this option to work. If it is set to something else, follow the steps in "How to switch between the two methods" below.

Option B: SEF-SIBA Página no Portal Integration

Use the same credentials you use to access the SIBA portal at https://siba.ssi.gov.pt/S/FB.aspx?ReturnUrl=%2fS%2fau%2fDefault.aspx

The required fields are:

No address or contact details (postal code, postal area, contact name, email, phone number) are needed for this option. Only select "Página no portal" if this is the sending method configured in your SIBA account settings. You can verify it in the SIBA portal under Atualização dos dados de inscrição.

How to Switch Between the Two Methods

The sending method selected in Holidu must always match the Método de envio in your SIBA account. Changing it in Holidu alone is not sufficient; the change must be requested from SIBA.

  1. Check the current method in the SIBA portal under Atualização dos dados de inscrição at https://siba.ssi.gov.pt/S/au/DadosIdentificacaoActualizacao.aspx
  2. If it is not the method you want, collect your NIF / Tax Identification Number (your company or host tax number) and the establishment number(s) of every property that needs to be changed
  3. Send an email to siba@ssi.gov.pt requesting the change of submission method (for example, to Web Service)
  4. Wait for SIBA's confirmation that the change has been processed
  5. Once confirmed, return to the configuration form in Holidu, select the matching sending method, complete the required fields for that option, and validate again
  6. Click "Validate," and once it shows "Completed!", click "Save Changes"
  7. Once completed, you will see that the connection is active

3. What happens after the activation

After activation, future bookings with a check-in date at least 6 days after the configuration is completed will automatically be associated with a guest check-in form. This form is sent to guests via email or through your booking channel message system.

4. Guest's Point of View

After booking, guests receive a form link via email or booking channel message. They must fill out the details for all guests, including children. They can enter information manually or by scanning their ID documents using their device camera.

The data is securely stored in the system. If guests do not complete the form, automatic reminders will be sent 5 days prior to the check-in date. If the form remains incomplete by the check-in day, you as the host can collect the information manually using the same link.

Guest data is automatically sent to the SIBA portal after 11:00 PM on the check-in date.

How to Fix Incomplete Data

  • Resend the form link to the guest as a reminder through your booking platform
  • For transfer errors:
    1. Contact Holidu Support at host@holidu.com
    2. Confirm that the sending method selected in Holidu matches the submission method (Método de envio) configured in SIBA, either "SEF-SIBA web service integration" or "SEF-SIBA Página no portal integration"

6. How to Get the Guest Registration Form - Boletim de Alojamento

You can download the guest registration form (Boletim de alojamento) for a specific period by following these steps:

  1. Log in to Holidu and go to More > Account > Guest Online Registration
  2. Click Configure, then open Details > Documents
  3. Select Generate Guest Form, choose the desired time period, and click Download

Frequently Asked Questions

When do guests receive the form?

Guests receive the form link immediately after completing a booking via email or your booking channel's messaging system. If the form remains incomplete 5 days before arrival, an automatic reminder is sent to encourage completion.

What about multi-unit properties?

The guest online registration feature is not yet available for properties with multiple units, such as properties where separate rooms are rented individually. Holidu is actively working to make this feature available for multi-unit properties soon.

What happens to bookings made before activating SIBA with Holidu, but with future check-ins?

The guest registration form will only be sent automatically if SIBA configuration was completed at least 6 days before the check-in date. For bookings made before the 6-day window, you will need to manually submit guest data to SIBA through the SIBA portal.

Do I need to register all guests, including minors?

Yes, all guests must be registered, including minors and children. Minors can be registered by their parents or legal guardians using the provided form.

What if guests don't fill out the form?

Guests will receive an automatic reminder 5 days before the check-in date. If the form remains incomplete, you as the host can complete it during check-in or resend the link to ensure it is submitted before 11:00 PM on the check-in day to avoid transfer issues.

Can I edit the form after submission?

No. Once guest data is submitted to SIBA, it cannot be modified through Holidu. For corrections or changes to submitted data, you must contact the SIBA portal directly at https://siba.ssi.gov.pt/
