Understanding Collaborator Types
Your property can have multiple collaborators with different access levels. The main types are:
- Primary Collaborator (Editor) - Has complete access to all property data
- Standard Collaborators - Have specific permissions based on their role
- Secondary Collaborators - Receive notifications about bookings
Primary Collaborator (Editor)
The primary collaborator has complete access to all property data and functions. This account is legally linked to your property agreements.
Primary Collaborator Access Includes:
- Full calendar access including booked, blocked, and available dates with price details
- Complete booking information including guest details and payment status
- Financial data such as invoices and payouts
- All property configuration and settings
- Guest reviews and feedback
- Collaborator management capabilities
- All notifications via email and push
Only the primary collaborator can access payout details, invoices, and payment information. This role is ideal for property owners or trusted managers who need full operational control.
Permission-Based Collaborators
Beyond the primary collaborator, you can add standard collaborators with specific permissions tailored to their responsibilities. You can assign one or more permissions to each collaborator.
Property Configuration Permission
What They Can View and Edit:
- Property descriptions and titles
- Photos (upload, delete, reorder)
- Amenities and facilities
- Room or unit information
- Pricing and seasonal rates
- Additional fees
- Arrival and check-in instructions
- Calendar sync setup (iCal import)
- Calendar export (iCal)
What They Cannot Access:
- Bookings or reservations
- Financial data (invoices, payouts)
- Distribution channels
- Guest information
- Blocked dates management

Important Notes:
- Property location is read-only if the property is already published
- iCal sync and export can be configured, but managing blocked dates requires additional permissions

Viewing and Creating Bookings Permission
What They Can See About Bookings:
- Full booking details and history
- Guest name, email, phone, and address

- Modify existing manual bookings
- Cancel bookings

Important Notes:
- To view the calendar, also grant the "See Availability" permission
- Guest contact details may be hidden until property owner completes KYC verification

See Availability Permission
This is a read-only calendar view designed for people who need to know occupancy status without viewing sensitive details.
What They Can See:
- Booking dates (check-in and check-out times)
- Number of guests (adults, children, babies)
- Booking status (confirmed, cancelled)
- Booking IDs
- Which dates are available
- Blocked date ranges
What They Cannot See:
- Guest names, email addresses, or phone numbers
- Price breakdown or totals

Distribution and Publication Permission

Mark as Secondary Permission
This checkbox enables a collaborator to receive email and push notifications about bookings on the property. Only one account per property can be marked as secondary.
Important: This permission only controls notifications. It does not grant access to view or edit anything in your property system. To give the person actual access to property data, also assign one or more of the permission boxes above.

Professional Property Manager
Recommended Setup: Property Management Expert (PME) Account
If you work with a professional property manager, the best approach is for them to create a Property Management Expert account and establish a mandate relationship with your property. This model provides proper operational access designed for property management businesses and allows invoice access—something regular collaborators cannot have.
Alternative Setup: If you prefer not to use the PME structure, grant the property manager all permissions: Property Configuration + See Availability + Viewing and Creating Bookings + Distribution and Publication. This provides full operational access to manage the property.
Important Note: Collaborators can never access financial data such as invoices and payouts. Only the PME model allows you to grant invoice access to a property manager.
Financial Data Access
No collaborator except the primary collaborator can access the dedicated financial sections of your property management system.
Restricted Access for All Collaborators:
- Invoices section
- Payouts section
- Payment status and history
Partial Financial Visibility:
Collaborators with "Viewing and Creating Bookings" permission can see payout amounts and commission details on individual booking records. However, they cannot access the dedicated Invoices or Payouts sections where you view and download financial documents and complete payout history.
Why This Restriction Exists: Financial data includes sensitive payment information that should only be accessible to the account holder with legal responsibility for the property.
Managing Your Collaborators
When setting up a new collaborator, consider their specific role and responsibilities. Choose only the permissions they need to perform their duties effectively. This approach keeps your property information secure while enabling your team to work efficiently.
Review your collaborator permissions periodically, especially when team members change roles or leave. Remove access promptly for anyone who no longer needs it.
