Understanding Guest Check-in Requirements in Italy

In Italy, all accommodation providers—including short-term rental hosts—must report guest information to the local police within 24 hours of arrival. If the stay is shorter than 24 hours, guest details must be communicated upon arrival. This requirement is mandated by Article 109 of the Consolidated Law on Public Security.

Holidu's online check-in feature helps you collect and manage guest information to comply with Italian regulations efficiently. However, please note that automatic data transfer to Alloggiati Web is currently paused due to a temporary non-compliance issue. Hosts must manually submit guest data directly via the Alloggiati Web portal until further notice.

Who Must Comply?

All types of accommodation providers, including vacation rental hosts, are legally required to comply with this guest registration regulation. Failure to report guest information may result in penalties, including fines or imprisonment.

Required Guest Information

For compliance with Italian law, hosts must collect and report the following information for the main guest:

  • Full name
  • Date of birth
  • Nationality
  • Passport or ID number
  • Date of arrival
  • Place of birth

Important notes regarding guest information:

  • Only the main guest must provide the type and number of their ID document
  • Additional guests must provide basic personal information (full name, date of birth, nationality), but document numbers are not required
  • Guest information must be verified in person at check-in and submitted electronically via the Alloggiati Web portal

How Holidu Facilitates Guest Check-in

Holidu's integrated guest check-in feature helps streamline compliance by automating data collection, simplifying reporting, and ensuring that mandatory information is captured. Guests receive a check-in link where they enter their required details before arrival, reducing manual effort and the risk of missing critical information.

Step-by-Step Guide: Connecting Your Property to Alloggiati Web

Once the automatic integration with Alloggiati Web becomes active again, you can reconnect your property using these steps. Note that this process works best when using the Holidu web platform on a computer. If you are using the mobile app, ensure you have the latest version installed.

Step 1: Access Your Account Settings

In your Holidu app or web portal, click on the Holidu logo, select Account, and click Configure under the Online guest registration section.

Step 2: Select Your Property

You will see your list of properties. Click Configure next to the property you want to connect to Alloggiati Web.

Step 3: Complete the Configuration Form

Fill out the form with the following details:

  • Select "Activate automatic sending to an authority"
  • Choose Authority: Alloggiati Web
  • Enter your Alloggiati Web username
  • Enter your Alloggiati Web password
  • Enter your Web Service key
  • Click "Validate" to verify your credentials

Step 4: Save Your Changes

Click "Save changes" at the bottom of the form. If no error message appears, your property is now connected to Alloggiati Web. Close the form and confirm the connection is active.

Finding Your Alloggiati Web Credentials

To connect your property, you will need your Alloggiati Web username, password, and Web Service key. Follow these steps to retrieve your Web Service key:

Retrieving Your Web Service Key

This process must be completed on a computer, as the Alloggiati Web platform may not display all options correctly on mobile devices or tablets.

  1. Log into your Alloggiati Web account at the official portal
  2. Click on your account name in the top right corner
  3. Select "Chiave Web service" (Web Service Key)
  4. If you already have a code, copy and paste it into the Holidu form
  5. If you do not have a code, click "Genera Nuovo Codice" to generate a new one
  6. Enter the new Web Service key in your Holidu configuration

Important reminders:

  • You can only generate one new Web Service key per day
  • Every time you change your Alloggiati Web password, you must also update the Web Service key in Holidu
  • For additional support, refer to the official Alloggiati Web Manual (page 28)

Data Transmission Timing

Once the integration is active, guest data will be transmitted according to the following schedule:

  • For one-night stays: data is transmitted at 11:00 PM on the check-in date
  • For stays of two nights or more: data is transmitted at 11:00 PM on the day after check-in

Current Status: Integration Paused

Please be aware that automatic data transfer to Alloggiati Web is currently paused due to a temporary non-compliance issue. Until further notice, you must manually submit guest data directly via the Alloggiati Web portal. Holidu is actively working to restore this feature as soon as compliance requirements are met.

During this period, continue collecting guest information through Holidu's check-in feature, but complete the submission to Alloggiati Web manually through their portal to ensure compliance with Italian regulations.

Downloading and Managing Guestbooks

You can download guestbooks for your records at any time through the Holidu platform. These records show complete document information for the main guest per booking, while additional guests' document fields will appear as empty (as only one guest per booking is required to provide document numbers under Italian law).
