An incorporated partnership is a business entity that is officially registered in a trade or commercial register (such as the Handelsregister in Germany). This includes entities like GbR (Gesellschaft bürgerlichen Rechts), Grundstücksgemeinschaften, KG, OHG, and GmbH & Co. KG.
Important distinction: Incorporated partnerships are different from unincorporated partnerships. If your partnership is registered in an official commercial register and has a Handelsregisternummer (in Germany) or equivalent registration number, you must onboard as an Organization with "Incorporated Partnership" as your company type.
Before You Start
Please have the following documents ready:
- Trade register extract or commercial register certificate (Handelsregisterauszug)
- Partnership agreement or articles of association
- ID documents of all legal representatives (passport, national ID card, or driver's license)
- Tax ID or business registration documents

Step 1: Log in and Start Verification
Log in to your Holidu account and navigate to the 'Account' tab. Click 'Validate' to begin the verification process for your incorporated partnership.
Step 2: Provide Partnership Information
2a. Primary Representative Details
Enter the details of the person who will be the primary representative signing with Holidu. This person must:
- Complete identity verification through Onfido
- Be an authorized signatory or legal representative of the partnership
- Provide a valid ID document (passport, national ID, or driver's license)
2b. Incorporated Partnership Details
Provide the following information about your partnership:
- Official registered name of the partnership
- Handelsregisternummer (trade register number) or equivalent registration number
- Registered business address
- Tax ID or VAT number
- Nature of business
2c. Partnership Members and Representatives
List all legal representatives or members with significant control (typically those with ownership exceeding 25% or decision-making authority):
- Click "Add another partner" for each additional member
- For each partner, provide:
- Full legal name
- Date of birth
- Residential address
- Ownership percentage or role (if applicable)
- Control rights information
- Repeat until all required partners are added
Step 3: Verify Identity of Legal Representatives
Each legal representative or member with significant control must complete identity verification. You have two options:
Instant Verification (Recommended)
- Select the country where the ID document was issued
- Choose the document type (passport, driving license, or ID card)
- Scan the QR code with your mobile phone
- Take clear, well-lit photos of the front and back of the document
- Submit for immediate verification
Manual Upload
- Select the document type
- Upload high-quality photos of the front and back of the document
- Ensure the document is clear and all text is legible
- Click 'Next' to submit
- Verification can take up to 72 hours
Step 4: Upload Required Documents
Trade Register Extract (Required)
Upload an official extract from the trade or commercial register. For Germany, this is the Handelsregisterauszug. This document must:
- Show the official registered name of the partnership
- Display the trade register number
- List all partners or legal representatives
- Show the registered business address
- Be issued within the last 12 months (in most cases)
Partnership Agreement or Articles of Association
Upload the constitutional document that establishes the partnership. Acceptable documents include:
- Gesellschaftsvertrag (partnership agreement)
- Articles of association or bylaws
- Notarized deed of establishment
- Minutes from the founding meeting
This document must be signed by all partners and clearly state:
- Names of all partners
- Roles and responsibilities
- Profit and loss sharing arrangements
- Decision-making authority
Tax or Business Registration Document
Upload a document from your country's tax authority showing:
- The partnership's registered name
- Tax ID or VAT number
- Business registration details
- Issued date (preferably within the last 12 months)
Step 5: Verify Your Bank Account
The bank account used for payouts must be registered in the name of the partnership or be a business account authorized for all members.
Instant Verification (Recommended; not available in Greece, Austria, and Italy)
- Search and select your banking provider
- Log in securely through Tink (your banking credentials are not stored)
- Authorize the connection to verify your account details
- Verification completes immediately
Manual Verification
- Enter your bank account details (IBAN and account holder name)
- Upload a recent bank statement from the last 12 months showing:
- The partnership's registered name
- The IBAN
- The bank's name and location
- Click 'Next' to submit
- Verification can take up to 72 hours
Step 6: Review and Submit
Before submitting:
- Review all entered information for accuracy
- Verify that all names match across documents
- Ensure all addresses are consistent
- Confirm all required documents are uploaded
- Double-check that the bank account holder name matches your registered partnership name
Once satisfied, click 'Submit' to complete this step of the verification process.
Step 7: Wait for Verification
After submission:
- If you used Instant Verification for bank details, your status will update immediately to "In Review"
- If you used Manual Upload, verification can take up to 72 hours
- Our specialized team will review your documents along with Adyen Support
- The complete verification process typically takes up to two weeks
- Monitor your email for any updates or requests for additional information
Tips for a Smooth Verification Process
- Document Quality: Ensure all documents are clear, well-lit, and fully legible. Blurry or cut-off text may cause delays.
- Consistency: Verify that all names, addresses, and dates match exactly across all documents. Even small discrepancies can cause issues.
- Current Documents: Use recent documents (ideally issued within the last 12 months) to ensure information is up-to-date.
- Complete Information: Provide all required fields. Missing information will delay verification.
- Check Your Email: Watch your inbox for any communications from our team regarding your verification status or additional requirements.
- High-Resolution Photos: When uploading document photos, use high resolution to ensure all details are clearly visible.
Common Issues and Solutions
Document Mismatch
If names or addresses don't match across documents, update your records with the relevant authorities and resubmit. Ensure the trade register extract matches your partnership agreement and tax documents.
Bank Account Name Mismatch
The bank account holder name must match your registered partnership name. If your account is in a different name, contact your bank to update it or provide authorization documentation showing the account is used by the partnership.
Missing Legal Representatives
All persons with significant control or decision-making authority must be listed and verified. If you omit required representatives, verification will be delayed.
Expired or Outdated Documents
Use current documents, particularly for trade register extracts. If your extract is older than 12 months, request a new one from the relevant trade register office.
What Happens Next?
Once your incorporated partnership account is verified, you can:
- List properties on Holidu
- Receive bookings and manage reservations
- Set up automatic payouts to your verified bank account
- Access all host features and tools
Your verification status will display as "Verified" in your Account section once the process is complete.
